Terms of Service
By creating an account on TopBins.coach, subscribing as a Club, or using our coaching management tools, you agree to follow and be legally bound by these Terms of Service.
1. Account Eligibility and Creation
Accounts for organizations and coaching staff must be created by adult legal entities (e.g., Youth Football Clubs) or adult individuals acting in a professional coaching capacity. Adult users are responsible for setting up and managing the player accounts within their respective teams.
2. Mandatory Player Login & Privacy Rule
As a condition of using the Platform, you acknowledge that TopBins.coach is a Zero-PII platform for minors. The Club and its designated Managers are the sole gatekeepers of player account creation and agree to comply strictly with the following data rules:
- Prohibition of Real Names in Logins: The responsible adult creating player credentials must ensure that no real names or identifiable personal information are entered into the player login name or username fields.
- Prohibition of Contact Info: You must never input or bind a minor's personal email address, home address, telephone number, or personal social media handles to a player account.
- All player login credentials must be generated using an anonymous format, roster number, or unique code (e.g., "Midfielder-4" or "LC-11").
- No Exact Dates of Birth: To track age divisions, you may only select general age groups (e.g., "Under 11") or birth years. You must not record exact days and months of birth for minors.
3. Compliance and Indemnification
The subscribing Club retains absolute operational control over the specific characters typed into their tenant space.
If a Manager, Club representative, or user breaches Section 2 by entering identifiable data of a minor into a login field, the Club accepts full regulatory and legal liability for that data entry under applicable local laws (including UK/EU GDPR and COPPA).
TopBins.coach reserves the right to audit, wipe violating data fields, or suspend accounts found in breach of this Zero-PII policy.
Privacy Policy
Welcome to TopBins.coach (the "Platform"). We are committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, and safeguard data when you use our service.
1. Our Core Principle: Zero-PII for Minors
TopBins.coach is deliberately designed to protect children’s privacy by practicing strict Data Minimization.
We do not collect, request, or store Personally Identifiable Information (PII) from minors (children under the age of 18).
The Platform utilizes a strict Anonymized Login Model for players. Clubs and managers are responsible for creating non-identifying player login names.
We do not collect names, phone numbers, personal email addresses, or physical addresses for youth players.
2. Data We Collect for Adults
We collect and process personal data belonging to adult users, including Club Administrators and Team Managers ("Coaches"), to manage accounts and platform operations:
- Account Registration Information: Display name, login name, contact email, contact phone, and club affiliation.
- Usage and Technical Data: Authentication/session activity and operational logs (including IP addresses and user agent data where available) used for platform security and troubleshooting.
3. Data Stored for Player Accounts (Non-PII)
Data stored within player profiles is strictly limited to non-identifying information:
- Player Login Name: A unique username or login ID that must not contain the child's real identity (e.g., "Striker-9", "PlayerAlpha").
- Performance Metrics: Training attendance, skill assessments, goals scored, drill times, and accuracy percentages.
- Team Context: Team-level format and age-group categorization (for example "U12") managed by adult staff. No player-level exact dates of birth are stored.
4. How We Use the Data
We use the data we collect to:
- Provide, operate, and maintain the TopBins.coach platform.
- Manage club account access, entitlements, and plan limits.
- Generate performance analytics charts for Coaches and Players to view.
- Secure our platform and prevent unauthorized access.
5. Data Sharing & Third Parties
We do not sell, rent, or trade data hosted on our platform. Data may be processed by infrastructure providers required to run the service (for example, secure hosting and platform operations).
Data Processing Agreement (DPA)
This Data Processing Agreement ("DPA") forms a legally binding addendum to the Terms of Service between TopBins.coach (the "Processor") and the subscribing organisation/football club (the "Controller").
1. Definitions
"Personal Data" means any information relating to an identified or identifiable natural person under UK/EU GDPR and COPPA.
"Player Metrics" means the technical, non-identifying football training data logged inside the system.
2. Scope and Roles
The Club acts as the Data Controller. The Club controls which teams are created, which managers are assigned, and what specific strings are inputted into player profile slots and login fields.
TopBins.coach acts as the Data Processor. The Processor merely hosts, runs calculations on, and displays the data back to the Controller and authorized player accounts strictly in accordance with the Controller’s instructions via app usage.
3. Data Minimization & Processing Instructions
The Controller hereby instructs the Processor to store and process data strictly for the purpose of managing youth football team statistics.
The Controller explicitly certifies and warrants to the Processor that no Personal Data belonging to minors will be transmitted to the Processor. The Controller guarantees that all login names and metrics assigned to the player accounts are pre-anonymized and contain zero identifiable personal tracking data.
4. Technical and Organizational Security
The Processor shall maintain industry-standard security measures to safeguard all stored data (including adult PII and player records) against unauthorized access, loss, or alteration. This includes database encryption at rest, secure HTTPS protocols in transit, and strict server-side tenant isolation separating data between distinct football clubs.
5. Data Deletion
Upon confirmed club account termination or formal deletion request, the Processor will delete, wipe, or permanently anonymize structural metadata, manager accounts, and related player metric records from production systems within 30 days, subject to standard backup retention cycles.
