This Data Processing Agreement ("DPA") forms a legally binding addendum to the Terms of Service between TopBins.coach (the "Processor") and the subscribing organisation/football club (the "Controller").
1. Definitions
"Personal Data" means any information relating to an identified or identifiable natural person under UK/EU GDPR and COPPA.
"Player Metrics" means the technical, non-identifying football training data logged inside the system.
2. Scope and Roles
The Club acts as the Data Controller. The Club controls which teams are created, which managers are assigned, and what specific strings are inputted into player profile slots and login fields.
TopBins.coach acts as the Data Processor. The Processor merely hosts, runs calculations on, and displays the data back to the Controller and authorized player accounts strictly in accordance with the Controller’s instructions via app usage.
3. Data Minimization & Processing Instructions
The Controller hereby instructs the Processor to store and process data strictly for the purpose of managing youth football team statistics.
The Controller explicitly certifies and warrants to the Processor that no Personal Data belonging to minors will be transmitted to the Processor. The Controller guarantees that all login names and metrics assigned to the player accounts are pre-anonymized and contain zero identifiable personal tracking data.
4. Technical and Organizational Security
The Processor shall maintain industry-standard security measures to safeguard all stored data (including adult PII and player records) against unauthorized access, loss, or alteration. This includes database encryption at rest, secure HTTPS protocols in transit, and strict server-side tenant isolation separating data between distinct football clubs.
5. Data Deletion
Upon confirmed club account termination or formal deletion request, the Processor will delete, wipe, or permanently anonymize structural metadata, manager accounts, and related player metric records from production systems within 30 days, subject to standard backup retention cycles.
